Operations Assistant

Use the permission-aware assistant for reporting questions, product lookups, and draft operational work.

The Operations Assistant is a permission-aware helper inside RepCloudCRM. It can answer workspace questions, look up records, draft certain CRM artifacts, and point users to the right workflow without giving everyone admin-level access.

Where to find it

  • Use the floating Assistant button from most internal pages for quick questions.
  • Open the full assistant page from the sidebar when the work needs more space or file context.
  • Admins can manage the OpenAI connection from Setup → Assistant.

What it can help with

  • Answering questions about customers, products, pricing, purchase orders, and sales activity based on the user's permissions.
  • Running sales lookups such as activity for a dealer, SKU, product family, or time period.
  • Drafting purchase orders, estimates, CRM email templates, and campaign starts when the user has the right access.
  • Guiding users to import queues, product tools, order records, and reports.

Permission rules

The assistant should follow the same access boundaries as the user. If a user cannot view or create a record manually, they should not be able to use the assistant to bypass that restriction.

Best practices

  • Ask for a specific outcome, such as a dealer sales report, a draft email, or a product pricing lookup.
  • Review draft documents before saving, sending, or converting them.
  • Use setup permissions and roles to decide who can ask the assistant to create or modify operational records.
